Set up your club's Gymnastics BC (GBC) membership fees on Club 1.0 each season, give each membership the right discipline, level, sub-level and role, then export and submit your members to Gymnastics BC.
- Club 1.0 is connected to Gymnastics BC’s member database. Clubs affiliated with Gymnastics BC (GBC) sell GBC memberships at registration, then submit them to GBC from Club 1.0.
- Create new GBC fees every GBC season, which runs September 1 to August 31. Most clubs need one or two fees a season.
- Discipline, Level, Sub-Level and Role set the membership type that you submit to GBC, and its weight. Each drop-down option shows its weight.
- Participants pay only for their most important membership. Lower-weight GBC memberships drop to $0 automatically.
- Submitting is a manual step. You export the memberships from Club 1.0 and upload them on Gymnastics BC’s site.
To set up and submit Gymnastics BC memberships on Club 1.0, check that your club is connected, create a GBC fee for the season with the right discipline, level, sub-level and role, then export the memberships and upload them to Gymnastics BC.
-
Check that your club is connected
Select Products & Programs → Products & Subscriptions and open any subscription. If you see a Gymnastics BC Lookup Options section, your club is connected. If you don’t, contact Uplifter Support.
-
Add your GBC fee
In Products & Subscriptions, select Add New in the toolbar. Enter the name and price, make the product a subscription and make it Mandatory.
-
Set the season and who pays
Under Duration of Subscription, choose Gymnastics BC Season, then the season. Under Product Information, set Apply To to Participant. Don’t add tag filters unless you have more than one fee (see below).
-
Choose the membership type
Use the Discipline, Level, Sub-Level and Role drop-downs. Give each fee in a season its own combination, and only as specific as your fees need: for example, Level: Recreational and Role: Athlete for all recreational athletes. Select Save. To speed up the GBC upload, you can set each fee’s SKU to match GBC’s SKU, such as season-REC-ATHLETE.
-
Export your memberships
Select People & Accounts → Gymnastics BC Submissions. Filter the list to the athletes you want to submit, check that each membership type is right, then select Export Submissions.
-
Upload them to Gymnastics BC
Follow GBC’s membership registration page, section Uploading The Template, to upload the exported file.
How weight works
- Each membership has a weight that adds up from its Discipline, Level, Sub-Level and Role choices. The weight shows beside each drop-down option.
- Example: a Recreational Athlete membership might have a weight of 6, and a MAG Elite Athlete membership a weight of 9.
- Lower-weight memberships drop to $0. If a participant already has a membership with a greater weight, any further GBC membership is still added to the invoice but reduced to $0. A competitive athlete (weight 10) who later joins a recreational program sees the recreational membership (weight 6) at $0.
If the new season isn’t listed yet
The season list comes from Gymnastics BC. If the new season isn’t there yet, set the Effective Start and End dates to September 1 and August 31 of the season. When the season appears, clear those dates and choose Gymnastics BC Season instead. The change applies to purchases already made.
Seasonal discounts
Products aren’t tied to your club’s seasons by default. If a seasonal discount should count your GBC fee, turn on This product may have season discounts or will be used to buyout volunteer credits. at the top of Product Information and choose the season, usually your first season of the year or your camp season. Don’t change the season after the fee starts selling. This setting only affects discounts, not which invoices the fee goes on.
More than one fee per season
Some clubs charge different GBC fees, for example when competitive program prices already include the GBC fee and recreational ones don’t. Any setup must meet two rules:
- No gaps: every participant who needs a GBC membership gets a GBC fee.
- No overlaps: no participant ever qualifies for two GBC fees at once.
To split fees, use Link To under Registration Checkout Filters, for example by category, so one fee is $0 and another is the full price. Weight still applies on top of your filters.
Charge only the most expensive membership
Weight already reduces lower GBC memberships to $0. If your club also sells other insurance memberships and participants should pay only for the most expensive one, create one discount:
1. Select Products & Programs → Discounts, then Add A Discount. Name it, leave the dates blank and check Unlimited.
2. Select Add A Benefit and choose Item Count Discount - Different Target(s).
3. Under Add Qualifying Item(s) and Add Target Item(s), choose Specific Item(s) and check all your membership fees.
4. Enter a Minimum Quantity of 1, leave Maximum Quantity blank, and enter a Value of 100 with Percent Off.
5. Set Prioritizing Qualifying Items to Most Expensive Items will be used to qualify and not be discounted, Discount Application Group to Per Participant, and the same-season option to Yes, and show any discount as individual line items. (Recommended). Select Save, then Save Discount Details.
If a membership doesn’t match after you submit
- Participant details differ: Uplifter matches athletes on first name, last name, gender, birthdate and postal code. Compare the participant’s profile (People & Accounts → Participants) with the record on Gymnastics BC’s site, then correct the details in Club 1.0 or ask Gymnastics BC to correct theirs.
- Membership type differs: if a participant’s membership changed after you exported, update the membership on Club 1.0 to match what you submitted. If both memberships apply, sell the second one on a new invoice and submit it too.
- Several clubs under one organization: if you sell memberships through one club and submit them through another, the submissions page shows that another club submitted these athletes. Contact Uplifter Support for help.
