As a provincial or territorial admin, check and complete the requirements on Canadian Fencing coach and official memberships: CAC Safe Sport, the criminal background check, the first aid certificate and the screening disclosure.
- A coach or official membership is issued only when every requirement is complete. Members can pay first and finish their requirements later from their profile.
- Dates count for three years. Safe Sport training, background checks and first aid certificates complete the requirement only if they’re no older than three years.
- Some requirements complete on their own. CAC Safe Sport and the Sterling background check update automatically. The first aid certificate and a "yes" screening answer need you to review them.
- The GDPR document is handled by Canadian Fencing only. Provincial admins don’t approve it.
- Screenshots may show an earlier version of the screens. The steps describe the current screens.
As a provincial or territorial sport organization (PTSO) admin, manage the membership requirements on Canadian Fencing coach and official memberships: check what’s missing and complete each requirement once the member has met it.
-
Open the member’s membership
On the Admin Dashboard, select Memberships → Individual Memberships, search for the member and open their Membership Details.
-
Check the requirements
Under Membership Requirements, see which requirements are complete and which are still missing.
-
Find how the requirement completes
Look up the requirement in the sections below. Some complete automatically; others need a date, a value or a document from you.
-
Review the member’s proof
For a first aid certificate or a screening disclosure, review what the member submitted before you change anything.
-
Update the attribute
Under Attributes & Records, select Edit on the attribute linked to the requirement, enter the date or value and select Next.
-
Check the status
The requirement switches to complete once the date or value is valid. When every requirement is complete, the membership is issued.
Which requirement applies to whom
- CAC Safe Sport: coaches, officials and High Performance Program (HPP) athletes.
- Criminal Background Check: coaches and officials.
- First Aid Certificate: coaches.
- Screening Disclosure: coaches and officials.
- GDPR Document: members with an International Fencing Federation (FIE) membership. Managed by Canadian Fencing only.
CAC Safe Sport
The Coaching Association of Canada (CAC) Safe Sport training is checked automatically through the Locker. The requirement is complete when the member’s training was completed within the last three years.
If the member has completed another approved Safe Sport training, you can complete the requirement yourself:
-
Open the attribute
Under Attributes & Records, select Edit on SafeSport other approved training - Last completion date (updated by admin).
-
Enter the date
Enter the date the training was completed and select Next. If the date is no older than three years, the requirement switches to complete.
Criminal Background Check
The background check runs through Sterling. The fee is added to the member’s cart automatically, and after paying, the member gets an email explaining how to complete the check. Sterling sends the result back to Uplifter, and the requirement completes if the result is clear. A check counts for three years from its completion date.
A member who already has a valid background check can remove the Sterling check from their cart before paying and give your organization proof of their own check. To record it:
-
Open the requirement
Under Membership Requirements, select How to Complete on the background check requirement.
-
Upload the check
Select Upload Manual Background Check. Add the proof of the check and its verification date, then save. If the check is no older than three years, the requirement switches to complete.
You can see any background check uploaded for the member on their Membership Details.
First Aid Certificate
A PTSO admin approves this requirement by hand. Coaches submit their certificate through Canadian Fencing’s first aid certificate form, and you’re notified when a certificate comes in.
-
Review the certificate
On the coach’s Membership Details, open the submitted certificate from its link and check the last completion date.
-
Record the date
If you approve it, select Edit on the first aid attribute under Attributes & Records, enter the completion date and select Next. If the certificate is no older than three years, the requirement switches to complete.
Screening Disclosure
During registration, coaches and officials answer three mandatory screening questions. If they answer "no" to all three, the requirement is complete. A "yes" opens follow-up questions for details, leaves the matching requirement incomplete and notifies you so you can review the answers.
Each question has its own attribute:
- Screening Disclosure Question #1: have you been convicted of a crime?
- Screening Disclosure Question #2: have you ever been disciplined or sanctioned by a sport governing body or an independent body, or dismissed from a coaching or volunteer position?
- Screening Disclosure Question #3: are criminal charges or any other sanctions currently pending or threatened against you?
If, after reviewing the details, you decide the requirement can be completed, select Edit on the matching attribute under Attributes & Records, change it to No and select Next. The requirement switches to complete.
GDPR Document
The General Data Protection Regulation (GDPR) document applies to FIE memberships and is approved by a Canadian Fencing admin only. Members submit it through Canadian Fencing’s GDPR form. If you’re a provincial admin with a question about it, contact Canadian Fencing.
Canadian Fencing admins are notified when a form comes in. To approve it, open the form from its link on the member’s Membership Details and review it. Then select Edit on the GDPR attribute under Attributes & Records, choose YES - Form completed and select Next.
If a requirement still shows incomplete after you save a date, check that the date is within the last three years. For anything else, contact Uplifter Support.
