As an admin, look up a member’s Sterling background checks on their profile, resend an invite, fix a request stuck on an email already in use, and add a manual check when someone was screened outside Uplifter.
Applies to Enterprise
- Members get the Sterling invite by email right away. The subject is “Reminder: Please complete your consent for the background check you purchased”. If it’s missing, ask them to check junk, spam and promotions. They can also start the consent from their own profile.
- Every check shows on the person’s profile, under Background Checks, with its type, date, status and result.
- For the full picture, sign in to your Sterling BackCheck portal. It shows more about each screening than Uplifter does, such as whether an applicant still needs to complete ID verification.
- A Red result needs your attention. Sterling has flagged the check for further review.
- Add a manual check when someone has a valid check from outside Uplifter.
- A check can be refunded only while it’s waiting on the candidate. To cancel one, contact Uplifter Support so Uplifter can cancel it with Sterling too. The processing fee isn’t refunded.
Manage background checks from the admin side: look up a member’s checks, resend an invite, fix a request in error and add a manual check.
-
Open the person’s profile
On the Admin Dashboard, select Users, search for the person and open their profile.
-
Go to Background Checks
Scroll to Background Checks. Each check shows its type, the date it was created, its status and its result.
-
Read the status
See the statuses and results below to know who needs to act next. For more detail on a screening, check your Sterling BackCheck portal.
-
Resend if the member is stuck
If the check is waiting on the candidate, select Resend invite email to send the Sterling invite again. Use Send to screening provider for a request that hasn’t reached Sterling yet. Neither creates a new check.
-
Follow up on a Red result
Review the check with the member and follow your organization’s screening policy before you clear them.
Follow up in your Sterling BackCheck portal
Your association has its own Sterling BackCheck account. Sign in to its portal to learn more about the status of any background screening, for example whether an applicant still has to complete ID verification. You can support the applicant by completing the ID verification form with them, and follow up with your Sterling BackCheck account manager. Once Sterling BackCheck approves the screening, Uplifter reads the person’s final status automatically and updates it on their profile.
Statuses and results
Statuses:
- API Error - Email already in use: the request hasn’t reached Sterling, because another Sterling candidate already uses this email address. This often happens when family members share one email. See the fix below.
- Waiting on candidate: Sterling has the request, and the member must complete their consent form on the Sterling site.
- Being processed: the consent form is done and Sterling is reviewing it.
- Complete: Sterling has finished and sent the result.
Results:
- Green: Sterling processed the check and everything came back clear.
- Clear: the same as Green, for checks that were imported or added manually.
- Red: Sterling completed the check but flagged it for further review.
- Unknown: the check is still in progress.
Fix an Email already in use error
-
Ask the member for another email
Confirm with the member which other email address they want to use for the check.
-
Update the profile email
Open the profile, select Edit in the profile details and replace the email address. Save.
-
Send the request again
In Background Checks, select Send to screening provider on the check. When Sterling accepts the new email, the status changes to waiting on the candidate and the member receives the invite.
Add a manual background check
Use this when you’ve confirmed that a person has a valid background check from outside Uplifter and you need to satisfy the requirement on their membership or licence.
-
Open the membership
Select Memberships → Individual Memberships, search for the person and open their Membership Details.
-
Open the requirement
On the background check requirement, select How to Complete.
-
Upload the check
Select Upload Manual Background Check. Add a note for future reference, the cleared or verified date and a document that shows the verification. Every field is required.
-
Save
Select Save. The check appears on the person’s profile under Background Checks with a Clear result, and the member can see it and download the document from their own profile.
For what the member sees and does, see Manage your profile details and background checks.
