When a club registration is blocked by a membership check, the answer is on the member's profile in your Membership Organization — this article covers reading the status and valid dates, deciding what to tell the member, and which problems belong to you, the club, or Uplifter.
This article is for provincial, territorial and national sport organization (PTSO/NSO) administrators using the Uplifter Enterprise Portal. It applies where your affiliated clubs run program registration on Uplifter Club 1.0 and FederationConnector checks your membership records at the moment a participant registers.
When a member tells a club they cannot register, the club will forward it to you. Almost always the answer is on that member's profile in your Membership Organization, and you can resolve it without involving Uplifter at all. This article covers how to read it and what to say.
Quick steps
- Ask for a screenshot of the whole message the member saw, not just the last line. It names the membership the program requires and the participant it checked.
- Open that participant's profile in your Membership Organization.
-
Read the membership status.
- If no profile exists at all, this is a name or date-of-birth mismatch — skip to the last row of the table below.
- Read the Valid From and Valid To dates. They appear lower on the profile page than the status does.
- Act on what the two together tell you, using the table below.
Read both the status and the dates
This is the one thing worth knowing before anything else, because it is the mistake that sends a member away with the wrong answer.
A membership can keep an Issued status after its valid dates have passed. Depending on how your memberships are configured, some hold Issued indefinitely and others flip automatically to Expired when the valid-to date arrives.
So the status alone never tells you whether a membership is current. An Issued membership with a past valid-to date is expired, and the check will treat it that way. Always read the dates.
If you read only the status, you will tell a blocked member that everything looks fine — and they will come back to you, or to the club, having got nowhere.
Acting on what you find
| What the profile shows | What it means | What to tell the member |
|---|---|---|
| The valid dates have passed — whether the status still reads Issued or has flipped to Expired | The membership has lapsed. The date is decisive, not the label. | Renew on your membership page, then return to the club to register. Wait until the renewal has been issued before retrying. |
| In-processing or pending | The purchase went through but has not been finalized on your side yet — often because a requirement is still outstanding. | Do not purchase again — they would be charged twice and need a refund. Tell them what is outstanding, or that it is with you and roughly how long it takes. |
| Cancelled | There is no usable membership on the record. | A new membership is needed. Worth a conversation first if the cancellation was not theirs. |
| Refunded or suspended | A membership exists on the record but is not in a state the check accepts. | Explain the state and what resolves it. This is yours to answer — the club cannot see it and Uplifter cannot change it. |
| The valid dates are empty | Not yet active. Treat it the same as in-processing. | Same as in-processing — do not let them purchase again. |
| No matching profile at all | Nothing on your records matched the first name, last name and date of birth entered at the club. Either the two records differ, or this participant genuinely has no membership. | Compare your record against what they entered at the club. If yours is wrong, correct it. If theirs is wrong, they can fix their club profile themselves. If there is genuinely no membership, they need to buy one. |
A blocked member who has just paid you is the case worth being most careful with. The message they see looks much like an expired membership, so their instinct is to buy again. One sentence from you prevents a duplicate purchase and a refund request.
Common causes of a details mismatch
The check matches on first name, last name and date of birth, and all three must match exactly. No membership number is entered. When a member does hold a membership but is not being found, it is almost always one of these:
- A nickname on one platform and a legal name on the other.
- A missing or extra hyphen or space in a surname.
- A two-part surname entered in a different order.
- A transposed date of birth — month and day swapped.
- A parent's own details entered instead of the child's.
That last one is the most frequent by a distance. The details that must match are the participant's, not the account holder's.
How the check works
- It reads your live records. Nothing is copied or synchronized. At the moment a participant registers at a club, the check looks at your Membership Organization as it stands, so a correction you make is effective immediately — ask the member to try again.
- Clubs configure nothing about your memberships. A club administrator sees a list of checkboxes on each program and selects which of your memberships that program requires. They cannot create, rename or change a membership, or change which statuses count.
- More than one membership on a program means any one of them. Where a club has selected two or three, a participant needs a current membership under any single one — not all of them.
- Memberships behave normally. A membership bought during a blocked registration is an ordinary membership on your Portal: it appears on your dashboard, in your reports, and carries the affiliated club.
- Two accounts, two payments. The club's program fee is collected on the club's site; your membership fee is collected on your Portal. Nothing is combined, so there is nothing to reconcile afterwards — and members hold an account on both platforms.
Who owns what
| You | The club | Uplifter |
|---|---|---|
| Which memberships exist, what they are called, what they cost, and their valid dates. | Which of your memberships each program requires — chosen from the list you agreed. | The connection between the two platforms, and the wording of the messages members see. |
| Issuing, suspending, cancelling and refunding a membership, and answering a member about its status. | Answering their own members about the program, and forwarding membership questions to you. | Configuration changes, requested through your account manager. |
If a member reports a message saying the check could not be completed, that one is ours. Ask them to email support@uplifterinc.com with a screenshot, the club site, the program name and the time — and not to buy a membership in response to it, because it will not clear.
What changes each season
Less than you might expect, and none of it falls to your clubs.
- Your account manager confirms with you which memberships and bundles the new season requires, in writing, before anything is changed.
- Uplifter updates the configuration behind the checkboxes.
- Your clubs re-select nothing. Their programs keep the same options, and members see the same membership names.
Adding a membership to the list, regrouping how the checkboxes appear, renaming an option or changing where a blocked member is sent are all configuration changes. Raise them through your account manager rather than asking a club to work around them.
The single most effective thing you can do. Ask your clubs when their registration opens, and remind your members to renew before that date. Almost every blocked registration in a season is a membership that was not yet renewed on the day someone tried to register.
