How Certification Tracking holds a membership until a member's credentials are in place, and where those credentials come from.

- It runs on the Enterprise Portal and gates memberships sold there.

Certification Tracking decides whether a person may hold a membership, based on the credentials on their record. Members see their own status on their memberships and certifications page.
How a requirement gates a membership
Every credential is a value on the member's record: a date, a yes or no, or a level. Requirements on a membership type read those values. Until every requirement is met, the membership shows Pending Requirements; when the last one is met, it issues on its own and the member is told.
- Block or hold — per requirement, a missing credential either stops the purchase outright or lets the member buy and holds the membership at pending.
- Date windows — each requirement is measured against a rolling period, such as 365 days, or a season with fixed dates.
- Lapses — when a date falls outside its window, the membership can go back to pending and the member is emailed.
- Different rules for different people — one membership type can carry different requirements by role group and by province or state.
Where credentials come from
- Uploads — the member uploads proof, and an administrator reviews it or it's accepted on upload.
- Courses run as events — an organizer connects a course type to their event, and attendance or a pass completes each registrant's course record.
- Background screening — a Sterling check sits on the membership as a requirement.
- Learning platforms — Canvas quiz and assignment results, and NCCP module completions from the Coach.ca Locker, can complete a requirement. The Locker connection is one-way: records come down from the Locker and can't be reported back up to it.
- Imports — course records from another system can be brought in by file where no connection exists.
Levels, courses and credits
A level combines course types, grants a named credential when a member meets it, and can be its own membership type, so the next course requires the level below. Courses can also award credit points, with different amounts by role such as participant, facilitator or evaluator. On a rolling window, points age out and the credential comes off until the member earns it back.
The lapse notice is included. A warning email before a credential expires, level completion emails and PDF certificates are extras, to be quoted separately. When you launch, members come across at the level they hold today; past course records don't migrate.
