Permission Groups

 

Overview

Permissions are your way of controlling who has access to what on your site. Each admin-side page and many of the features will require specific permissions in order to access them. Using this to your advantage, you can offer your team only the exact level of access they require to accomplish their tasks. The more refined your groups are, the more clarity you will have as to who has accomplished what around your site.

The Permissions page is found by navigating to Settings > Permission. In order to access the Permissions page you will need the following permissions: Admin, Permission Manager.

Permission Groups

Permission Groups allow administrators to group and categorize their team members. They allow for rapid addition or removal of users and permissions alike, effecting individuals or large groups at the click of a button. By default, Uplifter starts you off with 2 permission groups: Full Admin Access and Instructors.

Create a Permission Group

To create a permission group please navigate to the Permissions page. On the right hand side of the toolbar, select ​ Add Group. This will generate a new group that you can then name by enter the desired name into the Group Name field. Be sure to select Save to keep your new group!

Edit a Permission Group

You can edit your new or existing permission group in many ways. In order to begin adjusting a permission group please select it from the drop down menu at the far left of the toolbar.

Group Name

You can update the group name any time by adjusting the Group Name field as desired.

Group Members

You can update the group members by beginning to type their names into the Add to Group field. The system will suggest a list of option - select the correct user from this list to add them. To remove a user from this list simply select Delete next to their name.

Permissions

You can update the group's permissions by using the Permissions drop down to the right of the page. This drop down will list all possible permissions. By selecting one from the list you will add it to the group's permission list. To remove a permission select Delete beside the permission listing.

Delete a Permission Group

To remove a permission group in it's entirety first select the permission group from the Select Group drop down along the toolbar. Next, select Delete, located at the bottom of the permission list.

Example Groups

Every club and organization will be a little different. That's why Uplifter gives you the control and flexibility to offer your team members varying degrees of access to your Uplifter site. We highly recommend that you experiment and review your permissions regularly.

Here are a few examples of how clubs may want to setup their permission groups. You may want to create a series of test accounts for yourself or have members that are amenable to testing that you can add to these created groups so you can see what members of these groups may or may not have access to.

Full Administrator

By default, Uplifter provides you with a Full Admin Access permission group. If you initiated your organization's Uplifter site, you are part of this group automatically. The Full Admin Access group has all but two permissions automatically allotted in the permission manager. This gives them complete access to the site save for Can Send Out Non Opt Out Messages and Merchant Credentials.

Treasurer/Accountant

A Treasurer/Accountant permission group would likely want to offer the user access to accounting information, reports, and invoice access. They may also be in charge of setting up and connecting your online payment gateway. You might offer your treasurer/accountant the following permissions:

  • Admin
  • Invoice Manager
  • Invoice Edit
  • Discount Manager
  • Payment Manager
  • Report Manager
  • Tax Receipt Manager
  • Beta Orders
  • Merchant Credentials

Head Coach

A head coach may have more control and access over the site than a standard coach. You may want to give them access to your participants and their associated member accounts, emailing, evaluations, and perhaps program management. You might offer your head coach the following permissions:

  • Admin
  • Program Manager
  • Program Participants
  • Edit All Evaluations
  • Mark Evaluations
  • Email Manager
  • Member Manager

Coach

Your standard coaches may have a little less access than your head coach. In this instance, you might want your coaches to be able to mark evaluations, and view and interact with their assigned participants. You might offer you coach the following permissions:

  • Admin
  • Track Coach Only Participants
  • Track Coach Only Member Details
  • Mark Evaluations

Content Editor

Your content editors take care of the public side of the site. Because of this, you will likely want them to have access to all fun customization tools Uplifter offers. You might offer your content editor the following permissions:

  • Admin
  • Content Editor
  • Edit Posts
  • Theme Edit

Early Registration

Many clubs and organizations like to offer a select group of participants early registrations. If this is the case, you would keep your programs in Beta status and add your desired members to a group with Beta permission. Be sure that any program you don't wish to offer are either filtered off your registrations page or are set to Unavailable.

 

Permissions

Below is an exhaustive list of permissions, along with notes about which pages a user will be able to access once granted said permission. Please note, the Admin permission is needed in order to gain access to the admin side of the site. As such, many of these permissions will not grant access to anything until the Admin permission is also granted.

Permissions List

Admin: Able to access the Administration section of your Uplifter system. Additional permissions are required to access different sections of the administration area.

What pages can I access with this permission? Dashboard; About Uplifter. This permission is required to access any/all other admin-side pages.

Beta: Able to register for programs prior to the Registration Start Time listed on the Program.

What pages can I access with this permission? None. This will make Beta status products and programs visible for purchase.

Can Post On Dashboards: Able to post on user dashboards.

What pages can I access with this permission? None. This permission should be coupled with participant access permissions (Track All Participants or Track Coach Only Participants) to be effective.

Can Send Non Opt Out Messages: Able to send messages to mailing lists from which members cannot optionally opt out.

What pages can I access with this permission? None. This permission should be coupled with communication permissions (Email Manager) to be effective.

Category Manager: Able to add and edit categories, category levels and category requirements of your Uplifter system.

What pages can I access with this permission? Settings > Categories.

Content Editor: Able to add and edit public pages of your Uplifter system.

What pages can I access with this permission? None. This permission grants edit abilities to the public side of the site.

Discount Manager: Able to create, view and edit coupons/discounts for registrations.

What pages can I access with this permission? Products & Programs > Discounts.

Edit All Evaluations: Able to edit all program evaluations.

What pages can I access with this permission? Settings > Evaluations, Reports (select).

Edit Members: Able to edit all member account details including adding participants, family members and notes to accounts.

What pages can I access with this permission? None. This permissions should be coupled with member access permissions (Member manager, View Coach Only Member Details) to be effective.

Edit Participant Profiles: Able to edit all the participant profiles including including marking their achievements.

What pages can I access with this permission? People & Accounts > Participants, People & Accounts > Skate Canada Memberships.

Edit Posts: Able to view / add / edit posts that appear on the your Uplifter system to appear on your news posts page or on all dashboards.

What pages can I access with this permission? Communication > Posts.

Email Manager: Able to create and send emails to users, admins and instructors.

What pages can I access with this permission? Communication > Emails.

Facility Manager: Able to manage facilities and locations.

What pages can I access with this permission? Settings > Facilities & Locations.

Global Settings: Able to view and edit the global settings of your Uplifter system.

What pages can I access with this permission? Settings > Uplifter Settings, Settings > Global Settings, Settings > Ledger Accounts.

Goal Manager: Able to create, view, edit and evaluate participant goals.

What pages can I access with this permission? Settings > Goals, Settings > Achievements.

Instructor Manager: Able to view, add, and edit instructors and assign member accounts to an instructor.

What pages can I access with this permission? People & Accounts > Instructors.

Mark Evaluations: Able to mark evaluations for all Participants.

What pages can I access with this permission? Reports (select). This permission should be coupled with participant access permissions (Track All Participants or Track Coach Only Participants) to be effective. If not, achievements and category levels set to completed will be pending review.

Member Manager: Able to view all members and their details.

What pages can I access with this permission? People & Accounts > Member Accounts.

Merchant Credentials: Able to view and edit the merchant credentials for credit card payments.

What pages can I access with this permission? Settings > Uplifter Settings > [Merchant Details] tab. This permissions should be coupled with site settings access permissions (Global Settings) in order to be effective.

Invoice Edit: Able to view and edit Registration Invoices, including adding / editing subscriptions, products, programs and notes to currently existing invoices. Able to refund payments and withdraw participants from programs.

What pages can I access with this permission? None. This permission should be coupled with invoice access permissions (Invoice Manager) in order to be effective.

Invoice Manager: Able to view a list of Registration Invoices currently in the your Uplifter system. Not able to edit Registration Invoices unless they have access to Invoice Edit.

What pages can I access with this permission? Accounting > Invoices.

Override User Check In: Able to override check in and check out times.

What pages can I access with this permission? None. This permission should be coupled with member access permissions (Member manager, View Coach Only Member Details) to be effective.

Payment Manager: Able to view a list of all payments in the system. Not able to edit Registration Invoices.

What pages can I access with this permission? Accounting > Payments, Accounting > Gift Certificates.

Permission Manager: Able to view and edit user permission groups.

What pages can I access with this permission? Settings > Permissions.

Policy Manager: Able to view and edit Organization Policies.

What pages can I access with this permission? Settings > Policies.

Product Edit: Able to add and edit products and subscriptions.

What pages can I access with this permission? None. This permission should be coupled with product access permissions (Product Manager) to be effective.

Product Manager: Able to view products and subscriptions.

What pages can I access with this permission? Products & Programs > Products & Subscriptions.

Program Editor: Able to view and edit all Programs.

What pages can I access with this permission? None. This permission should be coupled with program access permissions (Program Manager) to be effective.

Program Manager: Able to view all Programs.

What pages can I access with this permission? Products & Programs > Programs.

Program Participants: Able to view participants that are registered in particular programs.

What pages can I access with this permission? Reports (select). This permission should be coupled with program and participant access permissions (Member manager, View Coach Only Member Details, Program Manager) to be effective.

Program Participant Admin: Able to administer the participants of a program, including adding / removing participants from waitlist and organizing participants into groups.

What pages can I access with this permission? None. This permission should be coupled with program and participant access permissions (Member manager, View Coach Only Member DetailsProgram Manager) to be effective.

Report Manager: Able to view reports.

What pages can I access with this permission? Reports

Season Manager: Able to create and edit Seasons. Create new programs and edit existing programs.

What pages can I access with this permission? Products & Programs > Seasons.

Tax Receipt Manager: Able to generate and edit tax credit receipts for users.

What pages can I access with this permission? Accounting > Tax Receipts.

Theme Edit: Able to update the overall visual theme for your Uplifter site.

What pages can I access with this permission? Settings > Themes.

Ticket Redemption Manager: Able to redeem tickets and create ans share authentication codes to be sent to devices to allow for ticket redemption (without having this specific permission).

What pages can I access with this permission? Products & Programs > Ticket Redemption Devices.

Track All Participants: Able to browse through all the participant profiles and track their achievements and development goals.

What pages can I access with this permission? People & Accounts > Participants.

Track Coach Only Participants: This resource is specifically for Coaches. Able to browse participants to which a Coach is assigned, including their achievements and development goals (Note, this will be trumped if the Coach has access to track all profiles).

What pages can I access with this permission? People & Accounts > Participants (select).

User Check In: Able to check in and check out.

What pages can I access with this permission? None.

View Coach Only Member Details: This resource is specifically for Coaches. Able to view member details that a coach is assigned to a related participant (Note, this will be trumped if the Coach as access to view all member details).

What pages can I access with this permission? People & Accounts > Members (select).

Volunteer Manager: Able to add and edit volunteer positions.

What pages can I access with this permission? Products & Programs > Volunteering.
