Evaluations

 

Overview

Evaluations are a fantastic tool for tracking and demonstrating the progress of participants. Evaluations can be monitored and updated by administrators and instructors (with the Edit All Evaluations and Mark Evaluations where desired) and accessed for viewing by the individual members and participants of your club. To begin using an evaluation you must first create goals that your evaluation will be dissected into. These goals will then be grouped together into goal groups within the evaluation.

Note:  Skate Canada clubs can import all standardized evaluations by following the steps detailed in the Importing Evaluations section. This negates any need for creating goals as well. 

 

Goals

Goals are similar to Achievements in that they are accomplishments that participants can complete/obtain. However, goals are more grounded in the day to day practice, improvement, and testing of a club/organization's curriculum.

Creating Goals

  1. Navigate to Settings > Goals
  2. Select Add Development Goal
  3. Set your goal's attributes
  4. Select Save

Creating Goals is the first step to evaluating participants. Each evaluation will utilize a group of goals as a set of parameters the participant must meet or exceed. To create a goal navigate to Settings > Goals. Select Add Development Goal.

Goal: Name your goal. This is generally a succinct description of the required action (i.e. "180 Degree Spin" or "Backflip")

Tagging: Categories, Category Level, Achievements, and general Tags can all be added as a tag to a goal. To add a tag, simply begin typing the name of the item you wish to add and select it from the suggested list. If you are adding a general tag (a manually defined tag) you can select it from the bottom of the suggestion list. By adding tags you can categorize your goals.

Why Tag My Goals? Tagging goals allows you to categories and correlate your goals. This is mainly for future filtering purposes on the Goals page. It is best to tag at least one category that your goal aligns with.

Duration: Indicates the expected amount of time that the goal will take a participant to complete (This is primarily used for reference purposes).

Evaluation Method: Indicate how the goal will be evaluated. Select True/False for a simple success or failure goal. Integer/Decimal offer the ability to add a minimum, maximum, and minimum passing grade as they correlate to a numeric value. The Grade option allows you to set an array of grades (usually alphabetical). By marking which grade is the first pass you can set a clear scale of success.

Select Save to keep your Goal or Cancel to discard. 

Editing Goals

  1. Navigate to Settings > Goals
  2. Select to Edit Edit-L.gif your desired goal OR select to Delete Delete-L.gif your desired goal

 

Evaluations

Evaluations are the amalgamation of your categories, category levels, achievements, and goals. The Uplifter system lets you use these items and pre-established structures to create tests that reflect and highlight the most important elements in your curriculum.

Creating Evaluations

  1. Navigate to Settings > Evaluations
  2. Select Add Evaluation
  3. Set your evaluation's attributes
  4. Create your goal groups
  5. Select Save

To create an Evaluation navigate to Settings > Evaluations. Here you can select Add Evaluation to begin the creation of a new Evaluation.

Evaluation Name: Name your Evaluation something concise. As an Evaluation generally consists of many goals, be sure to try and capture the general concept behind the goal grouping.

Allow Members To View Unpublished Evaluation Goals: By enabling this option you do not have to publish an evaluation for members/participants to see it. Since publishing can be performed directly from the evaluation page this is often not needed.

Link To (Tagging): Categories, Category Level, Achievements, and general Tags can all be added as a tag to an evaluation. To add a tag, simply begin typing the name of the item you wish to add and select it from the suggested list. If you are adding a general tag (a manually defined tag) you can select it from the bottom of the suggestion list.

Why Tag My Evaluations?: By adding tags to your evaluations you are aligning the evaluation to any programs within the category/category level you tag. This means that, when you navigate to the Dashboard and select to evaluate a program's event, you will have this evaluation as an option to use. Additionally, this adds buttons at the bottom of your evaluation review page that lets you quickly confirm the completion of any element you have tagged.

However, you can increase the convenience of this feature by also tagging your Goal Groups!

Select Save to keep your Evaluation.

Editing Evaluations

  1. Navigate to Settings > Evaluations
  2. Select to Edit Edit-L.gif your desired evaluation OR select Copy Copy-L.gif to duplicate an existing evaluation OR select Delete Delete-L.gif to delete your desired evaluation

Creating Goal Groups

  1. Navigate to Settings > Evaluations
  2. Select Add Evaluation and set your evaluation's attributes OR select to Edit Edit-L.gif your desired existing evaluation
  3. Select  Add a Goal Group
  4. Set your goal group's attributes
  5. Select Save

To begin creating a goal group select  Add a Goal Group from the "Evaluation Goal Groups" section.

Name of Group: Name your goal group as desired. Note, during evaluations you can sort by goal groups, so it is useful to select something succinct. I.E. "Black Belt"

If you are adding a general tag (a manually defined tag) you can select it from the bottom of the suggestion list.

Why Tag?: By adding tags to your goal groups you can enable quick access buttons for category levels and achievements in each goal section of your evaluation review page. This can be far more convenient than manually updating participant profiles. Beyond that, you will also enable these quick access buttons on the evaluation page for instructors and other reviewers to grant while actively evaluating!

Required Goal Count: The number of goals within the goal group that are required to complete the goal group. A goal group may include any number of goals but only a few may be required. If a participant must pass X number of goals, but which ones within the goal group doesn't matter, you would set your requirements here.

Select Save to keep your goal group.

Adding To Goal Groups

  1. Navigate to Settings > Evaluations
  2. Select to Edit Edit-L.gif your desired evaluation
  3. Select to Add a goal to your goal group
  4. Add  your desired goal
  5. Select Save on the evaluation screen

To begin adding to goal groups select  on your desired goal group line. To view your currently included goals, select the line segment to expand the goal group line.

This will open a pop-up allowing you to select the goals from you have created. Selecting the  beside the goal name will add that goal to the goal group.

Once you have completed adding your goals to your goal groups and have finalized your evaluation as a whole, be sure to select Save to retain your changes. 

Editing Goal Groups

  1. Navigate to Settings > Evaluations
  2. Select to Edit Edit-L.gif your desired evaluation
  3. Select to Edit Edit-L.gif your desired goal group OR select to Delete Delete-L.gif your desired goal group.

Editing Goals Within Goal Groups

  1. Navigate to Settings > Evaluations
  2. Select to Edit Edit-L.gif your desired evaluation
  3. Select to Expand Expand-L.gif your desired goal group
  4. Adjust tracking and requirements
  5. Select Save

Upon adding goals to a goal group and expanding the goal group segment, you will have the options to toggle "Track Passed Only" and "Required" for each goal.

Track Passed Only: Enabling Track Passed Only will remove the Attempted EvaluationToggle-A-Alt.png option and only toggle between Not Attempted EvaluationToggle-I.png and Achieved EvaluationToggle-A.png during evaluations.

Required: Enabling Required sets the goal to be mandatory within the goal group. By setting the goal as required a participant must complete the goal in order to be allotted any achievements or category level completion awards. This works well in tandem with the Required Goal Count during Goal Group Creation.

Importing Evaluations 

  1. Navigate to Settings > Evaluations
  2. Select Import Evaluation
  3. Set your evaluation's attributes
  4. Select Save

Skate Canada associated clubs can now easily and quickly import all standard evaluation. To import an evaluation navigate to Settings > Evaluations and select  Import Evaluation. All standardized evaluations will be listed. Use the drop down menu to select your desired evaluation.

Once you have selected your desired evaluation to import you will want to tag the associated categories and category levels in the Link To portion, explained below.

Evaluating

Evaluating is the act of marking/scoring a participant based on pre-established requirements. With the proper setup, the evaluations tool can also offer instructors and evaluators tools to quickly grant achievements to participants.

Taking Attendance

       Best Practice

  1. Navigate to Dashboard
  2. Select your desired event > Evaluations
  3. Select the Attendance tab
  4. Update the attendance form as desired
  5. Select Take Attendance

       OR  

  1. Navigate to Dashboard
  2. Select your desired event > Attendance
  3. Update the attendance form as desired
  4. Select Take Attendance

Before you can begin evaluating an event/class you must first take attendance. There are two options for attendance taking. The first option, and best practices, is available by navigating to Dashboard > select your desired event > Evaluations > Attendance tab. This method is the suggested path for those who are working in tandem with other evaluators on a single event. It is important to refresh your browser before proceeding with your attendance to ensure other evaluators' attendance is represented.

Alternatively, you can access the attendance via the admin Dashboard > select your desired event > Attendance. This path is best used only by evaluators that are monitoring the entire class, or administrators that wish to override the attendance as a whole. Note that this method will restrict the ability of other admins/instructors from updating the attendance further.

Marking the check boxes beside a participants name will indicate they are present at the event. Selecting the checkbox at the top of the list will select all available participants. An optional Comment field is available should instructors/evaluators wish to add information. 

While marking attendance from the Attendance tab of an evaluation, those that you personally mark as present will be locked to other evaluators. This mean that only you can deselect them from being marked present. However, taking attendance from the attendance pop-up will override all previously saved attendance. This allows administrators to override attendance should they see fit, but must mark the whole class at once rather than groups at a time.

Select Take Attendance to save changes.

Evaluating An Event

  1. Navigate to Dashboard
  2. Select your desired event > Evaluations
  3. Update the evaluations as desired
  4. Select Save

Once attendance has been taken, the Evaluations tab becomes available to select. The first step to evaluating is selecting the evaluation you would like to use. If there is only one evaluation associated with the program, it will be automatically presented. Otherwise, select your desired evaluation from the drop down menu "Current Evaluation". 

After selecting an evaluation you will be offered two drop down menus to filter your evaluation sheet by. Evaluation Group/Goal will filter by your desired goal group or singular goal. Groups/Participants will filter by any participant groups you have created or by a single participant. Both of these filters can be highly useful when focusing on particular scenarios. 

You are now ready to begin evaluating. Evaluation forms will be split into goal groups (listed in rows) with individual goals listed below each segment title (unless otherwise determined by the filters above). Participants will be listed in columns across the top of the page and at each goal group segment (unless otherwise determined by the filters above). Participants whose names are marked red have outstanding balances. This will only display if you have your Arrears settings established.

Goals within your current evaluation/goal group will have three possible states EvaluationToggle-L.gif. Not Attempted EvaluationToggle-I.png, Achieved EvaluationToggle-A.png, and Attempted EvaluationToggle-A-Alt.png. Note that the check box will mark the goal as achieved before attempted. You can also disable the attempted option when Editing A Goal Group.

For expedited marking, instructors and evaluators can use the "check all" box to the left of the goal name to mark all currently selected participants as Achieved. Note that this application is affected by the Groups/Participants filter, meaning that if you have applied filters to reduce your participant listings this will affect who is updated by the "check all" option as well.

When you have completed your evaluation select Save at the bottom of the page to ensure your changes are saved. When saving an evaluation you can opt to save the evaluation time as the current date/time, or the date/time of the event.

The system defaults to the latter, but this can be changed on a per-evaluation basis by removing the check mark beside "Record Evaluation Time As" at the top of the evaluation.

Evaluation Icons and Functions

Each evaluation page will offer a lot of information at a glance. References to the symbols used on this page will be offered along the top of the evaluation, under the legend.

Each evaluation will be topped by an Evaluation/Participant row. This row offers the global column headers for the evaluation as well as all participants in the event (unless otherwise filtered).

Those with an Achievement AchievementEval-A-Large.png icon have previous achievement information to be viewed. By selecting (or hovering over on PC) this icon you can view this information. Those with a grayed achievement AchievementEval-I-Large.png icon do not have past information to display.

You may also see the Available Achievements AchievementEval-A-Alt-Large.png icon. This icon displays when participants have achievements they possibly already qualify for but have not yet been allotted. If you have not set strict requirements for your achievements you may find that most or all of your participants have available achievements. By selecting (or hovering over on PC) this icon you can view a list of allotted achievements as well as any that may be available to allot. By selecting the button within you can then grant them that achievement.

The Achievement Pending AchievementPending-A-Large.png icon displays for those participants who have been marked by instructors/evaluators that do not have the required permissions to allot achievements directly. When this icon is visible on an evaluation it can be accepted immediately by hovering over the icon and selecting the confirmation button under "Achievements Pending."

Alternatively, you can also accept pending achievements via the Achievement Manager or the participant's profile.  

Participants with a Category Level CategoryLevel-A-Large.png icon have previous category level information to be viewed. By selecting (or hovering over on PC) this icon you can view this information. Those with a grayed category level CategoryLevel-I-Large.png icon do not have past information to display. 

Goals marked with a darker Attempt History AttemptHistory-A-Large.png have been marked in the past. By selecting (or hovering over on PC) this icon you will provide past information on the previous mark awarded, date, and previous evaluator. Those marked with a lighter Attempt History AttemptHistory-I-Large.png do not have past record information to display.

Participants marked with the Publish Evaluation PublishEval-A-Large.png icon have successfully been evaluated and the marks successfully saved. At this time, they will have a pending evaluation that is ready for review and/or publishing. By selecting the Publish Evaluations icon you will be presented with the publishing options discussed in Publishing An Evaluation. Note, if the participant does not have any previous evaluations the evaluation will simply publish immediately.

Viewing And Reviewing Evaluations

  1. Navigate to People > Participants
  2. Select to View View-L.gif your desired participant
  3. Select Evaluations 
  4. Use the drop down menu to review any available evaluations

Each event that is evaluated and saved will create a new, unpublished evaluation for each participant that was evaluated. If you did not change or update goals for one or some of the participants in the program, no evaluation will be created for those specific participants. 

To review the currently unpublished evaluations navigate to the participant's profile (People > Participants > select your desired participant) and select Evaluations from the side menu. Note, you can quickly navigate to a participant's profile page by selecting their name on the evaluations page. 

Using the drop down menu, you can select your desired evaluation. Evaluations are categorized by three innate filters: Current Evaluations, Published Evaluations, Summarized by Program. 

Current Evaluations: This is a list of all current, unpublished evaluations. Selecting one of the listed evaluations will allow you to review the marks and add comments before selecting Publish to finalize the evaluation. During this process - if category level tags were previously added during the evaluation creation process - you can award achievements and acknowledge category level completion by selecting the button below the goal list (in the below example: CanSkate 1 - Agility). 

If you have tagged both your evaluation and goal groups with category levels or achievements, you will see a button at the bottom of each goal group. Selecting this button will automatically set the category level/achievement to complete.

Published Evaluations: This is a list of all currently published evaluations. Published evaluations are visible to members and participants.

Summarized By Program: This is a list of all programs the participant has been evaluated during. All evaluations (both unpublished and published) will be amalgamated into a single evaluation listing separated only by program(s) in which the evaluation took place.

 

Publishing

Publishing is the act of making an evaluation's outcome/score accessible to the participant(s). Though you can disable the need to publish, it is often best to have this additional step to allow for verification and review by your instructors and admins.

Publishing From An Evaluation

  1. Navigate to Dashboard
  2. Select your desired event > Evaluations
  3. Perform your evaluation
  4. Save your marks and changes
  5. Select the Publish Evaluations PublishEval-A.png
  6. Select the desired publishing 

After performing an evaluation it is possible to publish the results directly from the evaluation page. Publishing results makes them visible to the participant and member. Publishing requires a participant's marks to be updated, in some fashion, and saved. Once saved, the Publish Evaluation PublishEval-A.png icon will display along in the main Evaluation/Participant row of the evaluation. By selecting this you can then opt for one of the three publishing options. 

Publishing From A Participant Profile

  1. Navigate to People > Participants
  2. Select your desired participant > Evaluations
  3. Select your unpublished evaluation from the drop down menu
  4. Verify the allotted marks and select any completed category levels/achievements if applicable
  5. Select the desired publishing option
  6. Select Publish

After performing an evaluation it is possible to publish the results directly from the evaluation page. Publishing results makes them visible to the participant and member. Publishing requires a participant's marks to be updated, in some fashion, and saved. Once saved, navigate to the participant's profile (People > Participants > View View-L.gif your desired participant) and select the Evaluations menu item. Using the drop down, select the unpublished evaluation of your choice. Select the desired publishing option and then select Publish.

Publishing Options

It is possible to publish an evaluation in one of three methods.

Publish results to new evaluation: will create a new evaluations on the participant's profile.

Publish and include results from YYYY-MM-DD: will collect all previously published marks from this evaluation type and save them into this evaluation along side the original marks.

Imagine you have three published evaluations for the same evaluation type (i.e. they took a test three times). On each of these evaluation they achieved different things. However, you want to represent all three test as a single evaluation this time, to show the final conclusion perhaps. This is when you would select "Publish and include results from YYYY-MM-DD". This is a great option for a "running total" type of evaluation. 

Republish results to YYYY-MM-DD evaluation: will save this evaluation's marks to the signified previous evaluation. 

Imagine you have performed an evaluation. They did great, you did awesome too - but you forgot to mark one of the goals before you published. Uh oh! Not to worry, you can perform the evaluation again, marking only that forgotten mark, and publish using "Republish results to YYYY-MM-DD evaluation" which will save the new marks to the old evaluation. This is also a great option for a "running total" type of evaluation.
