As a PTSO admin, see which requirements Freestyle Canada coach and official memberships need, which complete automatically, and how to complete a background check, Safe Sport, Making Headway in Sport or vulnerable sector check requirement manually.
- Coach and official memberships are issued only once every requirement is complete. You manage these requirements as an admin of your provincial or territorial sport organization (PTSO).
- Most requirements complete themselves. Background check results come from Sterling, and Safe Sport and Making Headway in Sport come from the Coaching Association of Canada (CAC) Locker.
- Complete a requirement manually only when the member has valid proof from elsewhere, such as a background check done outside Uplifter (it counts for three years from the date it was completed) or another approved training.
- Vulnerable sector checks always need an admin. Members upload them, and a PTSO admin approves them.
- Screenshots may show an earlier version of the screens. The steps describe the current screens.
Manage the requirements on Freestyle Canada coach and official memberships as a PTSO admin: know which ones complete automatically, and complete one manually when a member has valid proof.
-
Open the membership
On the Admin Dashboard, select Memberships → Individual Memberships, search for the member and open their Membership Details.
-
Check the requirements
Under Membership Requirements, see which requirements are complete and which are still missing.
-
Complete a missing requirement
Follow the section below for that requirement. Once every requirement is complete, the membership is issued.
Requirements at a glance
- Criminal background check (coaches and judges): automated through Sterling. The background check fee is added to the member’s cart, and once they pay, they get an email explaining how to complete the check. Sterling sends the result to Uplifter Snow, which completes the requirement if the check is clear. A member who already has a background check can upload it while buying their membership.
- CAC Safe Sport training (coaches): automated through the CAC Locker. The requirement completes once the member has finished the training.
- Making Headway in Sport (coaches): automated through the CAC Locker. The requirement completes once the member has finished the training.
- Vulnerable sector check (coaches born before March 12, 1994): uploaded by the member and approved by a PTSO admin.
Upload a background check manually
-
Open the requirement
In the member’s Membership Details, find the background check requirement and select How to Complete.
-
Upload the proof
Select Upload Manual Background Check. Add a note, the date the check was verified and a document that proves it.
-
Save
Select Save. The requirement completes as long as the check is less than three years old.
A background check the member uploaded themselves also shows on their Membership Details.
Record another approved training
Use this when a coach completed another approved Safe Sport or Making Headway in Sport training outside the CAC Locker.
-
Open Attributes & Records
In the member’s Membership Details, scroll to Attributes & Records.
-
Edit the training’s date
Select Edit on the training’s last completion date: the Safe Sport attribute or the CAC Making Headway in Sport Training attribute.
-
Enter the date
Enter the date the training was last completed and select Next. If the date is right, the requirement switches to complete.
Approve a vulnerable sector check
-
The member submits the check
Members upload their vulnerable sector check through the Freestyle vulnerable sector check process.
-
Review the upload
Each time a check is submitted, PTSO admins get a notification with a link to the member’s upload. Review the document.
-
Approve it
If the check is valid, open the member’s Membership Details, scroll to Attributes & Records, select Edit on the vulnerable sector check attribute, set it to YES and save.
