Review Canada Snowboard club affiliation and event sanctioning applications in two stages. The provincial or territorial association reviews and notes its approval, then Canada Snowboard approves the application and emails the applicant.
- Every application is reviewed in two stages. The provincial or territorial sport organization (PTSO) reviews it first. Canada Snowboard, the national sport organization (NSO), then gives the final approval.
- PTSOs don’t change the status or email the club. When your review is done, add the comment "Approved by PTSO" to the application and let Canada Snowboard know. Only Canada Snowboard sets the status to Approved and sends the approval email to the applicant.
- The same club process is reused every year. Your application report covers every season, so filter it by the listing dates to see the current season.
- Returning clubs renew with their own renewal link. Each club’s link is in the last column of the application report.
- Screenshots may show an earlier version of the screens. The steps describe the current screens.
Manage Canada Snowboard club affiliation and event sanctioning applications as an association admin: find each application in your queue, review it, and approve it in two stages, PTSO first and Canada Snowboard second.
-
Open your applications
On the Admin Dashboard, select Clubs → Affiliations for club affiliation applications, or Events → Sanctioning Applications for event sanctioning. Use the search and filters to find an application, for example all applications waiting for approval.
-
Open the application
Select the arrow at the end of the row for a quick overview, or open the application’s details to review all of it.
-
Review the details
Check the listing information, the application information, the applicant (the person who submitted it) and whether every required waiver is signed. From the details you can also resend the confirmation email and add supporting documents.
-
Check the answers
Open the tab with the applicant’s answers to review everything they entered. You can correct an answer or save the answers as a PDF.
-
PTSO: note your approval
Don’t change the status and don’t email the club. Add the comment "Approved by PTSO" in the admin comments on the application, then let Canada Snowboard know it’s ready. If something is missing, add a note that explains why the application is on hold.
-
Canada Snowboard: approve the application
Once the PTSO’s comment is there, review the application, change its status to Approved and confirm the change. Then email the applicant from the application to tell them it’s approved.
Application statuses
- Incomplete: someone started an application but hasn’t finished it or hasn’t paid. Decide whether to follow up on applications that have been incomplete for a while.
- Waiting for Approval: the application is submitted and paid. It’s the PTSO’s turn to review it.
- Approved: Canada Snowboard has approved it after the PTSO’s review.
Email the applicant
Send emails to the applicant directly from the application. If you send the same follow-up often, such as the approval email, save it as a template. Choose the template, open the email to finish writing it, and send it.
Find your clubs’ renewal links
-
Open your club sanctioning organization
Select Memberships → Sanctioning Organizations and search for "club".
-
Download the application report
Open the organization’s reports and scroll to the permit reports. Download the report for each permit type: for-profit and not-for-profit.
-
Filter to the current season
The report lists every club application of all time, because the same process is reused each year. Filter on the listing valid from and listing valid to columns. They hold each club’s membership dates, which are also the dates the club shows in your directory. For example, filter the valid from date to July 1 of this year to see this season’s clubs.
-
Send each club its link
The last column, Renewal Links, has a unique link for each club. Send each club’s link to its club admins. The link opens a pre-filled application based on last season’s answers.
Tell clubs and event organizers how to apply
