How Equestrian Sports New Zealand (ESNZ) sport discipline managers review an officials level application on horsereg - evaluate the rules test, update the official's level and notify the member - and how the discipline dashboard is set up.
- Each discipline has its own application dashboard. The examples use Eventing, but every discipline works the same way.
- Applicants need a valid ESNZ official membership. Members without one are asked to buy or renew it during the application, and they pay for it in the cart. The application itself has no fee.
- Each application creates a rules test course record. You mark it pass or fail under Certifications → Course Evaluations & Attendance Tracking.
- You set the level by hand. Update the official’s Discipline - Official Level(s) attribute. The change updates the membership requirements and the officials directory right away.
- Officials can apply for more than one level at once. Levels with the same questions share one form.
- Screenshots may show an earlier version of the screens. The steps describe the current screens.
As an Equestrian Sports New Zealand (ESNZ) sport discipline manager, manage officials level applications by reviewing the answers, evaluating the rules test, updating the official’s level and notifying the member.
-
Open the application
Select the link in the notification email to open the application’s registration details. Review the answers in the forms and surveys section.
-
Find the rules test
On the Admin Dashboard, select Certifications → Course Evaluations & Attendance Tracking and search for the member’s name. The application created a rules test course record, such as ESNZ Eventing Rules Test.
-
Evaluate the test
Select Add Evaluation, choose pass or fail, enter the completion date for a pass, and save.
-
Update the official’s level
Back on the registration details, go to Attributes & Records. Select Edit on Discipline - Official Level(s), select every level the official should hold and save.
-
Notify the member
In Notify & Follow up on the same page, choose a template and select Compose Email. Choose the sending address, adjust the subject and body if needed, and select Send Email.
Before you review
- Be an evaluator. Only people listed as evaluators on the dashboard’s Configuration → Education Management page can evaluate the rules test.
- Wait for the requirements. Update the level only once the member meets every requirement for that level.
- Need more than pass or fail? Uplifter can add evaluation questions and comments the member can see. Contact Uplifter Support.
Reusable email templates
Save templates in Notify & Follow up for the messages you send often:
- Missing requirements: tells the member what they still need to send.
- Level completed: tells the member their level is approved or their test is passed.
Set up your discipline dashboard
Uplifter built one dashboard for each discipline. From its Configuration tab, you can:
- Edit the landing page and confirmation email that applicants see. See Customize your event’s landing page.
- Update the contact information shown to applicants.
- Review the application categories. There’s one category for each level, and you can edit each level’s description. See Manage registration categories on Event Dashboard.
- Check the application forms. Each level’s questions are in its registration category form. See Create or update registration forms.
- Connect Mailchimp to build a contact list of your officials. See Connect Mailchimp to a Club Dashboard or Event Dashboard.
- Set up a notification email so a chosen address is emailed each time a member submits an application. See Configure notification emails on Event Dashboard.
