Email your team about each registration or store purchase, and schedule emails to registrants before or after your event.
- An admin notification tells your team about a purchase. A registrant notification is a scheduled email to everyone registered.
- Scheduled emails are timed before or after the event's end date.
- New notifications start with default text in English and French, and scheduled ones start with the purchase notification text. Rewrite it before you save, or members receive the default.
Notification emails go out on their own when someone registers or buys a store item, or on a schedule around your event. Set them up under Configuration → Email Notifications on the Event Dashboard. A Club Dashboard has the same page on its Configuration tab.
-
Open Email Notifications
Open Events → Events, then select the gear icon or status button on the event's row. Select Configuration, then Email Notifications.
-
Add a notification
Select Add Email Notification, then choose an admin notification or a registrant notification.
-
Set up an admin notification
Set Trigger type to Purchase notification, then choose the Purchase Type:
- Registration: an email each time someone completes a registration.
- Store item purchase: an email each time someone buys a store item. Then select the store, or the specific item.
Enter the Recipient Email of the person on your team who should get it.
-
Set up a registrant notification
Set Trigger type to Scheduled registration notification. Choose the Trigger Delay in days, weeks or months, and whether it applies before or after the event's end date. For an event ending March 20, one week before sends the email on March 13.
Enter a Sender Email. People can reply to it, so use your event or club contact email.
-
Write the email and save
Both languages are selected under Language by default; keep only one if you write in one language. Replace the default Email subject and Email body with your own, then save.
Personalization variables such as {{registrant_first_name}} and {{registration_details_url}} fill in each person's details when the email is sent. See Use personalization variables in email templates for the list.
A scheduled email works well for a "what to bring" reminder a few days before, a renewal reminder for next season, or a satisfaction survey after the event.
