What each column of the membership import template needs, and how to fix the rows the results email rejects.
Must know
- Bold headers are required. Columns without a bold header are optional.
- Drop-down values must match exactly, and Excel can translate them into your computer’s language.
- Most rejections are about age: eligibility uses your membership organization’s age calculation date, not today’s date.
Fill in the import template so every row imports, and fix the rows the results email lists under Rows with error (not created).
Filling in the template
- Member details. First name, last name and email as text. Date of birth goes in the format shown in its header, DD/MM/YYYY or YYYY/MM/DD, as set up for your organization.
- Drop-down columns. Gender, Membership Type and, on some templates, Organization Type and Member Type. To fill several rows, copy a cell from the same column so the drop-down stays.
- Parent or guardian. Optional, but the first name, last name and email go together. Fill in all three or leave all three empty.
- Address. Select the country before the province or state. The bold headers show whether your template requires an address.
Open the template in Excel or Google Sheets, keep its columns as they are, and save it as .xlsx.
Fixing rejected rows
- Missing Required Fields — A bold column is empty, or Gender or Membership Type isn’t one of the template’s own values. If Excel translated the drop-downs, download a new template.
- Organization Type Error - Please select valid choice — The organization behind your memberships has changed. Download the latest template and copy your rows into it.
- Identity not eligible for selected Member Type — The person doesn’t meet the type’s age or gender rule. Age is counted at the age calculation date, so someone who is 15 today but turns 16 by a 31 December date counts as 16. Your association can confirm the date.
- Multiple Identities exist with matching EXACT or REVERSED names, and matching EXACT or REVERSED dob — Check that the first and last names aren’t swapped. If they’re right, the person already has duplicate profiles. Merge them if your account can merge profiles, or submit a request, then import the row again. - Missing Membership Type Selection — The row has no membership type, or the template is out of date. Pick a type, or download a new template.
- Invalid Country ISO3 code — The country was typed rather than picked. Choose it from the drop-down.
- Missing Date of Birth (DD/MM/YYYY) — The date of birth is empty or in the wrong format. Use the format shown in the column header.
If the email asks for a fresh template, its column headers couldn’t be read. Download a new template, copy your rows into it without renaming or moving columns, and import again. Still stuck? Submit a request and attach the results email.
