Who does what in the Athletics Canada annual club affiliation, from application to a live Club Dashboard: the club, its provincial branch and Uplifter.
- A Club Dashboard goes live only after the branch approves the club's affiliation application.
- Branches send configuration updates to partnersupport@uplifterinc.com at least 28 days before go-live, and report testing issues at least 7 days before.
- When they apply, clubs pick a Club Dashboard option: Option A, Option B or undecided. That choice decides who at Uplifter gets in touch.
- New clubs are onboarded with Adyen for payments. Returning clubs can keep Paysafe, which stays available across Enterprise.
The Athletics Canada annual club affiliation is a relay with three runners: the club, its branch (the provincial or territorial sport organization, or PTSO) and Uplifter. Each one carries the baton for a leg, and registration opens when the last one crosses the line. Here's who runs what, so nothing gets dropped.
The race at a glance
- The club applies on AthleticsReg.
- The branch reviews the application and checks its dates and registration rules.
- The branch approves, and Uplifter is notified.
- Uplifter contacts the club, based on its Club Dashboard choice.
- The dashboard is activated once the setup is confirmed, with the branch copied.
- The club goes live and registration opens to members.
Club admins: your leg
-
Submit your affiliation application
On AthleticsReg, select your province, choose the affiliation and follow the instructions to submit. Along the way, choose your Club Dashboard: Option A, Option B or undecided. Once your branch approves, Uplifter follows up based on that choice.
-
Review your Club Dashboard
Go to Tools → Dashboard, select Programs in the left menu, and open your club dashboard for the coming season. Check that:
- Valid dates start when club registration opens and end when your affiliation ends.
- Membership registration rules match your branch's policy (Configuration → Reg Rules).
- The landing page and confirmation emails say what you want, with the features you need.
Running more than one dashboard for club seasons? Contact Uplifter Support to turn on the advanced features.
-
Set up payments and training (new clubs)
New to collecting club fees? Uplifter's onboarding team sets you up with Adyen, the payment processor for new clubs, and books a training session. Returning clubs can keep using Paysafe, which stays available across Enterprise.
Picking a monthly payment plan for your club? Try the Blue and Green plan calculator to see which one costs less at your registration numbers.
-
Wait for the green light
When your branch approves your application, Uplifter emails you to activate your Club Dashboard.
Branches: your leg
-
Send your configuration updates
Email your affiliation survey updates, confirmation email text and landing page text to partnersupport@uplifterinc.com at least 28 days before go-live.
-
Test the affiliation process
Run user acceptance testing (UAT) and any retraining you need. Report issues to partnersupport@uplifterinc.com at least 7 days before go-live.
-
Review the applications
Go to Tools → Dashboard → Applications and open each club dashboard. Check that:
- Listing start is when the club should appear in the directory, and listing end is when its affiliation ends.
- Each dashboard has its membership registration rules (Configuration → Reg Rules).
- Clubs that run more than one dashboard for club seasons get your support once Uplifter has done the initial setup.
-
Approve the application
Once you approve, Uplifter reviews the club dashboard and contacts the club. Your organization's representative is copied when the dashboard is activated.
Uplifter: the anchor leg
- Applies configuration requests from the branch: directory date ranges, confirmation emails and other updates.
- Offers retraining to branch or club admins who want a refresher before go-live.
- Contacts each club once its branch approves.
Who gets in touch depends on the club's Club Dashboard choice:
- Option A, new club: the onboarding team
- Option A, returning club: Customer Support (renewals)
- Option B: Customer Support
- Undecided: the sales team
