A payment group lets an athletics club's members register on AthleticsReg while the club collects the Athletics Canada and branch membership fees offline and pays its branch on one invoice.
- A payment group is an open invoice between your club and your branch. Members register on AthleticsReg and add their membership fees to the club’s invoice instead of paying online. Your club collects those fees by cash, cheque or electronic funds transfer (EFT).
- It holds only membership fees, owed to Athletics Canada and to your branch, the provincial or territorial sport organization (PTSO). Club fees can’t go into a payment group.
- One payment group per club, per season. Uplifter sets it up when your club asks for it. The setup fee is $50 per club, paid by the club.
- Members usually see both choices at checkout: paying online by card, or adding the fees to the club’s invoice. Tell your members which one to choose.
- A passphrase can limit who uses it. Only members who enter your club’s passphrase can choose the payment group.
Collect Athletics Canada and branch membership fees offline with a payment group: your members register on AthleticsReg, the fees go on your club’s invoice, and your club pays your branch.
-
Ask for a payment group
Contact Uplifter Support to request one. Clubs that use a payment group are on configuration Option C.
-
Set a passphrase, if you want one
On the Admin Dashboard, select Financials → Payment Groups and open your club’s group. Add a passphrase so only pre-approved members can choose the payment group.
-
Tell your members how to pay
Members who pay through the club choose the option to invoice your club for their membership fees. Everyone else pays online. Share the passphrase only with the members your club is paying for, or who pay the club directly.
-
Collect the fees
Collect what each member owes outside AthleticsReg, by cash, cheque or EFT. Keep registrations paid through the payment group separate from those paid by card where you can.
-
Pay your branch
At the end of the season, or when your branch asks, your club gets an invoice listing every member who added their fees to it. Pay your branch the amount on the invoice.
-
Get your receipt
Once your branch receives your payment, it validates the payment group, and AthleticsReg issues the receipt.
Common setups
- Your club pays the membership fees for one group of members, such as coaches or officials. Create a registration category just for that group, and ask for the payment group option to show only on those memberships.
- Your club offers card and offline payment for the same program. Club fees can’t go into a payment group, so ask for the payment group on every membership option, with a passphrase for pre-approved members. Collect the club fees offline with a registration category coupon code; see Create a coupon code.
Where to find your payment group
Your payment group’s invoices, reports and passphrase are under Financials → Payment Groups on the Admin Dashboard.
What your branch does
Your branch invoices your club for the Athletics Canada and branch membership fees in the payment group. When your payment arrives, the branch records it and validates the payment group; see Manage payment groups as an association admin. Uplifter then invoices the branch for the offline registration fees owed.
