Keep an internal record on a person's membership, such as why it needs attention or was cancelled, in the Admin Notes panel of Membership Details.
- Admin notes are kept on a membership, not on the person’s profile. Each membership has its own Admin Notes panel.
- Notes are internal: they’re for the admins who manage the membership, not for the member.
- Use them to record why a membership has its status, for example why it’s in Requires Admin Attention or why it was Cancelled, so the next admin who opens it knows the history.
As an association admin, add an admin note to a person’s membership to keep a record of decisions and follow-ups. The note sits in the Admin Notes panel on the membership’s Membership Details page.
-
Open the membership
Select Memberships in the left menu and open your membership organization. Find the person in the membership search, or with Quick Search at the top of the page, and open their membership. The Membership Details page opens.
-
Find Admin Notes
On the right, below Membership Info, find the Admin Notes panel and select Edit.
-
Write the note
Say what you checked, what you decided and what happens next, with the date. Add to any earlier notes rather than replacing them, so the history stays readable. Save the note.
-
Update the status if needed
If the note explains a status change, select Edit in Membership Info and change the status there.
For what each status means and how to change one, see Approve an association membership.
