Start next season by cloning last season's Club Dashboard or Event Dashboard, then update its dates, fees and membership rules, renew your affiliation and submit it for review. If your sanctioning body uses Uplifter's season rollover service, it clones your dashboard for you.
Applies to Enterprise
- Clone, don’t rebuild. Each Club Dashboard is one registration process for one season. Clone last season’s dashboard to keep its categories, forms and settings, then update the copy. Cloning also keeps your club on the financial organization it already has, so you don’t open a new account every season.
- The copy is a separate dashboard. Last season’s dashboard and its registrations stay as they are. The new one opens on the dates you give it.
- Check with your association or sanctioning body first. Uplifter offers associations a season rollover service that clones every member club’s dashboard for them. If your association or sanctioning body has asked for it, don’t clone your own dashboard: wait for the new one to appear in your list, then open it.
- A new season goes through review again. Submit the new dashboard for review, and allow two to five business days before registration can open.
- Membership seasons are set top-down. Your sanctioning body sets the membership season and does its season rollover tasks before the clubs do theirs. Agree a timeline with your sanctioning body and your Uplifter contact.
To start a new season, clone last season’s Club Dashboard or Event Dashboard, update the copy for the new dates and fees, and submit it for review.
-
Check that your sanctioning body is ready
If your members buy their sanctioning body’s membership with their club registration, its new season has to be open first. Ask your sanctioning body when its new season opens, and plan your registration dates after it. Ask too whether it has asked Uplifter to clone your dashboard for you.
-
Open last season’s dashboard
On the Admin Dashboard, select Clubs → Clubs/Teams and open last season’s Club Dashboard. For an event, select Events → Events and open the event instead.
-
Clone the registration process
At the top of the dashboard, select Clone registration process. In the clone window, enter the new season’s name, the season dates, and the dates registration opens and closes.
-
Choose what carries over
For each item the window lists, choose Ignore to leave it out, Reuse to keep using last season’s, or Duplicate to make an independent copy. Ignore is selected by default, so check every line. For agreements and waivers, including your association’s, which one to pick depends on your insurer’s or association’s policy, so check with them first. Select Save.
-
Open the new dashboard
The copy doesn’t open by itself. Go back to Clubs → Clubs/Teams, open the new season’s dashboard and select Configuration.
-
Update the copy
Check the dates, registration categories, prices and age limits. Add your sanctioning body and your other process-specific admins again under Configuration → Permissions: their access isn’t copied to the new dashboard. Your sanctioning body updates your membership registration rules for the current membership season.
-
Renew your affiliation and submit
On the new dashboard’s Dashboard tab, select + Affiliation and choose your association’s affiliation process, if your association asks you to apply each season. Then test your registration and select Submit for review in Configuration.
Before you open registration
- Your sanctioning body updates the registration rules. Registration rules can be cloned, but they have to point to the current membership season, and your sanctioning body updates them. Be sure to add it to the new dashboard as a process-specific admin. Until the rules are updated, members may be asked to buy a membership they already hold, or a current member isn’t recognized.
- Process-specific admins aren’t copied. Your organization’s owner, financial controllers and administrators keep their access to the copy. Anyone added to last season’s dashboard as a process-specific admin, including your association or sanctioning body, has to be added again on the new one.
- A reused waiver is the same waiver. If you chose Reuse, an edit to the waiver on either dashboard changes it on both, and people who signed the earlier wording are asked to sign again the next time it’s presented to them.
- Uplifter connects your dashboard to the association’s membership purchase. If members choose your club when they buy their association membership, Uplifter pairs the new dashboard with that purchase before you go live.
- Use Seasons to see the whole season in one place. If your club runs more than one Club Dashboard in a membership season, select Clubs → Seasons, create the new season and add the new dashboards to it. Seasons combines their data in one dashboard, so you can review the season at a glance. See Combine Club Dashboards into a club season.
- Test first. Start with an empty cart, register for each program and stop before Submit and Complete. Cancel any test registration you complete by mistake.
