As an association, review the club affiliation applications in your queue, approve them, and set the listing dates that decide when each club shows in your directory.
- Clubs apply through your affiliation process. Each application lands in your queue under Clubs → Affiliations on the Admin Dashboard. A club can also start its application from its own Club Dashboard, with + Affiliation at the bottom of the Dashboard tab.
- An application has one of three statuses. Incomplete means the club started but hasn’t finished or paid. Waiting for Approval means it’s submitted and paid, and ready for you to review. Approved means you’ve approved it.
- The listing dates decide when a club shows in your directory. A club is listed only between the Valid From and Valid To dates on its application’s listing, and only while the listing is visible. Approving the application doesn’t list the club on its own.
- Approving tells the club. The applicant gets your approval email, and the club sees the status and your notes on its Club Dashboard home page.
- Uplifter sets up your affiliation process, including its questions, fees and approval emails. To change it, contact Uplifter Support.
As an association, manage club affiliation applications: review each club’s application, approve it, and set when the club shows in your directory.

Open your applications
On the Admin Dashboard, select Clubs → Affiliations in the left menu. Use the search and filters to find an application, for example all applications waiting for approval.

Review the application
Open the application. Its details show the club’s listing, the application, the person who submitted it and whether any required waiver is signed. The club’s answers to your questions are on a separate tab, where you can correct an answer or save the answers as a PDF.

Follow up if something’s missing
Add a note to the application to record what’s missing or why you’re waiting. To ask the club for something, email the applicant from the application; save the emails you send often as templates. You can also attach supporting documents. For Incomplete applications, decide whether to follow up with the club.

Approve the application
Change the status to Approved and select Save. The applicant gets your approval email.

Set the listing dates
From the application, open the club’s listing and go to Configuration → Overview. In the listing details, set Valid From and Valid To to the season the affiliation covers, make sure the listing is approved and visible, and select Save. The club shows in your directory between those dates.
One affiliation process, or one per year
Associations run club affiliation, or sanctioning, in one of two ways. Uplifter sets up the one you choose.
- One process, reused every year. Clubs apply through the same process each year. The Valid From and Valid To dates on each approved application matter most here: set them carefully so each club appears in your directory only for the season it’s affiliated.
- A new process each calendar year. Each year’s applications stay separate, so your report shows only that year’s applications and needs less filtering. Uplifter Support sets up the new process every year, which adds time to your annual renewal.
Download your applications and renewal links
The application report lists every club application in one spreadsheet. Select Memberships → Sanctioning Organizations, open your club affiliation organization and go to its reports. Download the report from the application reports section. If you run more than one application type, for example for-profit and not-for-profit clubs, each type has its own report.
- With one process reused every year, the report covers every season. To see only this season, filter on the listing valid from and listing valid to columns. With a new process each year, the report holds only that year’s applications.
- Each club has its own renewal link, in the report’s last column. If your clubs renew with renewal links, send each club’s link to its administrators.
Share your application link
Send your affiliation link to the clubs you know, with the steps in Apply for club affiliation with your association. You can also add a button to your membership landing page that takes clubs to the application; see Customize your membership landing page. If you can’t find your link, contact Uplifter Support.
