Create the GL codes your organization needs, then assign them to events, memberships, products, campaigns and fees so each sale posts to the right revenue account. You can split one price across several codes.
- A GL code set higher up applies to everything below it. A code set lower down, such as on one registration category, overrides it.
- Changing a code doesn’t recode income already posted. Income posted under the wrong code is corrected in your own accounting software.
- Give every item a code before you sell it. Sales made before an item had a code are the usual cause of reports that don’t match.
- Choose the right code type. Each kind of revenue has its own type, listed below.
GL codes, or revenue accounts, decide where each sale posts in your accounting. Create the codes you need, then assign them to what you sell.
-
Open your GL codes
On the Admin Dashboard, select Financials → Accounting, choose the financial account and open GL Codes.
-
Add any missing codes
If a code you need doesn’t exist, add a new GL account with the right type: Revenue - Registrations for event registrations, Revenue - Memberships for memberships and licences, Revenue - Products for merchandise, subscriptions and insurance products, Revenue - Applications or Revenue - Permits for applications and permits, and Revenue - Donations for donations.
-
Start an assignment
Open the Management tab and select Assign GL Code. Choose the organization that holds what you’re selling.
-
Choose what the code is for
Select Event for registrations, Organization for memberships, licences and applications, Product Group for products, Campaign for donation campaigns, or Identity Fee for a standalone fee such as an NSF fee. Then choose the specific item, such as a registration category or product.
-
Choose the code
Choose the price and the GL account. To split revenue, select Add Price Portion and give each GL account its dollar amount.
-
Save
Select Add GL Code.
On an Event Dashboard
You can also set an event’s codes on its dashboard: select Configuration → GL Codes. Codes set there override the ones set higher up.
For admin fees and their GL codes, see Set up and use organizer administration fees.
