Refund a membership when direct affiliation payments are active: the club, PTSO and NSO each refund their own share by email.
- With direct affiliation payments, the national portion is its own order, paid straight to the NSO, and only the NSO can refund it.
- Each organization refunds only the fee paid to it. No one can refund another organization's fee.
- The other organizations aren't notified when you refund your part. The request travels by email.
When direct affiliation payments are active, a member's checkout pays the club and the provincial or territorial sport organization (PTSO) on one order and the national sport organization (NSO) on another. A refund moves up the chain by email, and each organization refunds its own share.
-
Club refunds its own fee
The club refunds the program or club membership with the status Refunded (Cancelled), including only its own items. See Issue a refund.
-
Club emails the PTSO
Send this request to your PTSO representative. For several participants, attach a spreadsheet with the same fields, one row per person.
Subject: (club or PTSO name): Cancellation / refund request Hello, My name is (your name) and I'm an admin for (club or PTSO name). Could you please cancel and refund the (PTSO or NSO) membership for the following participant: Participant's full name: User email: Date of birth: Current membership type: Reason for cancellation / refund: Thank you,
-
PTSO refunds and copies the NSO
The PTSO refunds its portion of the membership the same way, then emails the member with the NSO's membership team in copy, so the NSO refunds the national order. A PTSO starting a request itself does the same.
-
NSO refunds and confirms
The NSO refunds the national order, then emails the PTSO and the club to confirm the chain is complete.
Without direct affiliation payments, the national fee sits on the same order, and the PTSO forwards the club's email to its NSO representative instead. Either way, when you confirm your part, tell the member which fees are still with another organization.
