Event organizers apply to their association for a sanction or permit from its application link or their Event Dashboard, pay and follow the status. Associations review each application, ask for changes, approve it and set when the event shows in their directory.
Applies to Enterprise
- There are two ways to apply. If it’s your first application, or you don’t use Uplifter for your event’s registration, apply from your association’s sanctioning application page. If your event takes registrations on Uplifter, set up your Event Dashboard first and apply from it, so the dashboard and the application are paired. Pairing makes approval and record keeping faster for everyone.
- Your association runs the process. It decides the questions, fees and approval steps, and Uplifter builds the application for it. You can apply on Uplifter only if your association runs event sanctioning on Uplifter.
- An application has four main statuses. Incomplete means it’s started but not finished or not paid. Waiting for Approval means it’s submitted and paid, and ready for review. Approved means the association has approved it. Cancelled means the association turned it down.
- You can stop and come back. An unfinished application stays saved as Incomplete. Open the same link and continue where you left off.
- Approval comes from your association, not Uplifter. The status and the association’s notes show on your Event Dashboard when the application is paired with it.
- The listing dates control the directory. An approved application carries Valid From and Valid To dates, and the event shows in the association’s directory and calendar only between them.
Apply for event sanctioning from your association’s sanctioning application page or from your Event Dashboard, then follow it to approval; as an association, review and approve the event sanctioning applications in your queue.
-
Start your application
From your association’s sanctioning application page: sign in, open the page your association sent you and create your event’s listing (step 2). From your Event Dashboard: set up the dashboard first, then on its Dashboard tab select + Affiliation/Sanctioning and pick your association’s sanctioning process. The application is paired with that dashboard, where its status and your association’s notes show.
-
Fill in your listing
The listing is your event’s record: its name, start and end dates, address and contact email. A website, phone number and logo are usually optional and show in the association’s directory. To reuse an earlier event, choose Copy from an existing listing or continue an existing application, find the listing and copy it, then check that its contact details are still current. Select Save Listing.
-
Choose a classification
Pick the classification, such as the discipline, that lists your event in the right place in the association’s directory, and add your social media links.
-
Choose your application type
If your association offers more than one, such as levels or tiers of sanction, pick the one that fits your event. Choose the highest level your event needs. If you applied through the same process before, you can bring your previous answers into this application.
-
Answer the questions
Complete and save every section. Some processes ask you to upload documents or to set up your registration categories and prices. Enter dates and other answers in the exact format a question asks for. When every section is saved, a summary of the costs appears.
-
Pay and submit
Select Pay Online or Proceed to card, sign any waivers you’re asked to sign, then pay in the cart and complete your order. Your application goes to your association as Waiting for Approval.
If you review applications for an association
-
Open your queue
On the Admin Dashboard, select Events → Sanctioning Applications. Use the search and filters to find an application, for example everything waiting for approval.
-
Review the application
Open the application. Its details show the event’s listing, the application, the person who submitted it and whether any required waiver is signed. The applicant’s answers are on a separate tab, where you can correct an answer or save the answers as a PDF.
-
Follow up if something’s missing
Add a note to the application to record what’s missing or why you’re waiting. To ask the organizer for something, email the applicant from the application; save the emails you send often as templates. You can also attach supporting documents. For Incomplete applications, decide whether to follow up.
-
Complete any review levels
If your process has more than one approval level, such as a regional body and then the national body, each review organization approves or denies its own level with a note. Agree the order with the other bodies so the final approver knows when to act.
-
Approve the application
Change the status to Approved and save. The applicant gets your approval email, and the organizer sees the status and your notes on their Event Dashboard. To turn an application down, change its status to Cancelled and add a note saying why.
-
Check the listing
Make sure the event’s listing is approved and visible, with Valid From and Valid To dates that cover the event. The event shows in your directory and calendar between those dates.
Fees and payments
- Fees follow the answers. A fee can be flat, per quantity, set by the option chosen, or a late fee after a date. Any online fee is paid when the organizer submits.
- Offline payments are recorded by the association. If an organizer pays by cash, cheque or transfer, the association records the payment against the application once it’s confirmed.
- A fee can be added after submission. If a different option applies, the association can add a fee to the organizer’s cart. The organizer pays it from the cart and tells the association, because the association isn’t told automatically.
Reports, links and each new season
- Download your applications. Select Memberships → Sanctioning Organizations, open your sanctioning organization and go to its reports. Each application type has its own application report. If you reuse one process every year, filter the report on the listing valid from and valid to columns to see one season.
- Share your link. Send your sanctioning link to your organizers, or add a button to your membership landing page; see Customize your membership landing page. If you can’t find your link, contact Uplifter Support.
- Each season, send your changes to Uplifter. Uplifter builds and changes the process, its questions, fees, approval levels and emails. Dates, emails and changed fees are set again each season, so send next season’s changes to Uplifter well before applications open.
For how sanctioning and affiliation work across your organization, see Club affiliation and event sanctioning. If an application doesn’t work, contact Uplifter Support with the sanctioning link you’re using and the email address you sign in with.
