Change a member's association membership type during the season by swapping the purchase group on their Membership Details, and handle upgrades, downgrades with a refund, and changes for next season.
- Members upgrade themselves and pay only the difference. They buy the higher membership from your membership page. Uplifter sets up the upgrade and downgrade prices each season, so if a member sees a different amount, contact Uplifter Support.
- Downgrades and changes at the same price are done by you, on the member’s Membership Details. For a downgrade, you refund the difference.
- End the old membership before you cancel it, and start the new one the same day. Set the old membership’s Valid To date to the day of the change, then cancel it, and set the new membership’s Valid From date to that same day. Your membership report stays clean, and no one holds two active memberships at once.
- Changing a provincial or territorial sport organization (PTSO) membership doesn’t change the matching national sport organization (NSO) membership. If the member also holds an NSO membership, send the change to your NSO.
- Changing a category or division, not the membership type? See Update a member’s category or division.
Change a member’s membership type by swapping the purchase group on their Membership Details. The steps below cover a change at the same price and a downgrade in the same season; upgrades and next-season changes follow.
-
Open the membership
On the Admin Dashboard, select Memberships → Individual Memberships. Search by name, email address, date of birth, address, postal code, phone number or member number, and open the member’s Membership Details.
-
Cancel the current group
In the Purchase Group section, select Edit on the current membership, set its Valid To date to today, change its status to Cancelled and select Save.
-
Add the new membership
Use the Add a new group drop-down to choose the new membership, then select Add Group.
-
Complete the new group
Select Edit on the new group, choose its sub-categories and any affiliated club, set its Valid From date to today, and select Save. The group shows Complete.
-
Issue the membership
Under Membership Info, select Edit, choose Issued in the status drop-down and select Save.
-
Send the updated card
Select Resend Purchase Confirmation Email, or Resend Issued Membership Email if your organization uses it, so the member gets the new membership and updated digital card by email.
Upgrade during the season
The member upgrades from your membership page. Their current membership shows as PURCHASED, they choose the higher one and pay only the difference; see Upgrade your association membership in the middle of the season.
- If the new membership is issued automatically, the member gets the confirmation email and updated digital card right away. Uplifter can set up your organization so the outdated membership is cancelled automatically. Otherwise, end and cancel the old group yourself (steps 1 and 2), and set the new membership’s Valid From date to the day of the upgrade.
- If the new membership needs your approval, set the old membership’s Valid To date to the day of the upgrade and set it to Cancelled. Set the new membership’s Valid From date to the same day, then approve it; see Approve an association membership. The confirmation email and updated digital card go out once it’s approved.
Downgrade during the season
Follow the steps with the lower membership, then refund the difference from the cancelled group:
-
Open the order
On the cancelled group, select View Order, then Refund.
-
Refund the difference
Select Include Item on the membership, choose Refunded (Cancelled), set the amount to the price difference and select Submit Refund. See Issue a refund.
-
Check the old group
Back on Membership Details, the cancelled group shows Refunded.
Change the type for next season
Cancel the current membership: cancel its group (steps 1 and 2), then under Membership Info set the status to Cancelled and save. Then open the member’s profile from Users → Profiles and add a membership in next season’s organization, as in Manually add a membership or licence to a profile: add the new group, complete its sub-categories, affiliated club and valid dates, and generate a member number if one doesn’t carry over.
To resend a member’s confirmation at any time, see Resend a confirmation email as an admin.
