Let people queue for a full or closed registration category, then invite them to register when a spot opens.
- A waitlist can open when a category reaches capacity, when registration closes, or on a date you set.
- The deactivation date and time are required: the waitlist stops taking names then.
- Each waitlist registration counts toward the registration process's maximum capacity, so set that above the combined total of your categories.
- Every waitlist message needs both English and French text before you can save.
A waitlist lets people queue for a full or closed category and register when you invite them. Set it up under Configuration → Waitlist Settings on the Event Dashboard, then work from the Waitlist tab.
-
Open the waitlist settings
Open Events → Events, then select the gear icon or status button on the event's row. Select Configuration, then Waitlist Settings.
-
Choose the categories
Under Solo Waitlist Configuration → Overall Configuration, switch on Activate Waitlist for Individual Registration Categories, then pick the categories under Individual Registration Categories with waitlist activated. Replies go to the Reply-to Email Address, which you change under Email Notifications.
-
Set when it opens and closes
Under Activation & Deactivation, switch on Activate Waitlist on Capacity Reached or Activate Waitlist at Registration Close Time, or set a Waitlist Activation Date and time. Then set the Waitlist Deactivation Date and Waitlist Deactivation Time. Times use the time zone shown beside each field.

Check the messages
Review the three messages on the same page, each in English and French:
- Join Waitlist On Screen Confirmation Message — what people see after they join.
- Join Waitlist Confirmation Email Message — the email confirming their place.
- Invite From Waitlist Email — the email inviting them to register, with their registration link and its expiry.
Variables such as {{event_name}} and {{category_name}} fill in automatically; each message lists the ones it accepts.
-
Find who's waiting
Select the Waitlist tab. It shows how many people are waiting, their Rank, and each invitation's expiry and status. Search by name, or filter with Select registration category and Select invitation status. Generate Report gives you the list as a report.
-
Invite the next person
Open the ⋯ menu on the person's row to send an invitation, set how long it stays valid, and send it. Their Invitation status updates as they respond, and changes to Registered once they complete their registration.
The waitlist keeps working after online registration closes, until the deactivation date. That lets you keep filling spots as people drop out, without reopening registration for everyone.
