Members can't switch an individual association membership to a family one themselves. Cancel the individual membership, send the member a coupon for what they paid, and they buy the family membership with it.
- Members can’t make this switch themselves. The pay-the-difference upgrade doesn’t cover a move from an individual to a family membership, so you cancel the individual membership and credit what the member paid.
- The coupon replaces a refund. Cancelling a membership doesn’t send money back, so don’t refund the individual membership as well.
- Credit the membership amount, before tax and processing fees. One coupon doesn’t cover both the provincial or territorial sport organization (PTSO) and the national sport organization (NSO) membership. Member and affiliate fees are flat or set in advance, and one already paid this season isn’t charged again on the family membership.
- The family membership doesn’t need your approval. The individual membership was already approved.
When a member who holds an individual membership needs a family membership instead, cancel the individual membership and send them a coupon for what they paid. They buy the family membership from your membership page and enter the code at checkout.
-
Open the individual membership
On the Admin Dashboard, select Memberships → Individual Memberships, search for the member and open their Membership Details. On the purchase group, select View Order and note the membership amount paid, before tax and processing fees.
-
Cancel the purchase group
In the Purchase Group section, select Edit, set Valid To to today, change the status to Cancelled and select Save. The membership status updates on its own, so there’s nothing to change under Membership Info.
-
Add an admin note
Optional, but it helps the next admin: record the move to a family membership and the coupon code. See Add an admin note to a membership.
-
Create the coupon
Go to Financials → Coupons and select Create Coupon. Set Applies To to Membership Organization and pick the one that sells the family membership. Set Discount By to Value, enter the amount from step 1 as the Discount Amount and leave Maximum Uses at 1. Use a code that names the member, such as FAMILY_JSMITH, and a Description the member will understand, such as Credit for your individual membership. See Create a coupon code.
-
Send the code to the member
Ask them to sign in to the account that holds their individual membership and buy the family membership from your membership page. The family membership must include the member whose individual membership you cancelled. Each family member should be chosen from their existing profile, not added as a new one.
-
The member checks out with the code
In the cart, the member enters the coupon code. Codes are case-sensitive. The credit comes off the family membership price, and member and affiliate fees already paid this season aren’t charged again.
-
Check the family membership
Select Memberships → Family Memberships and open the new membership. It doesn’t wait for your approval. To send the confirmation and cards again, see Resend a confirmation email as an admin.
If something goes wrong
- The code doesn’t work. Check what it applies to, its capital letters, the uses left and its dates.
- The cart charges a fee the member already paid. Stop before payment and contact Uplifter Support.
- A family member was added as a new profile. Merge the two profiles; see Merge duplicate profiles.
