What each association membership status means, from the cart to Issued, and what to do when a membership sits in one.
Must know
- Only Issued counts as a current membership. A membership lookup page treats every other status as no membership.
- An unsigned waiver shows as Pending Requirements, not Processing. The membership moves on by itself once it’s signed.
- A membership can stay in Pending Requirements indefinitely. Nothing cancels it automatically.
- Cancelled doesn’t always mean refunded.
Every association membership carries one status that tells you where it stands, from the cart to Issued to Expired. You’ll see it on the member’s Membership Details, and you can filter on it with Membership Status in Mass Edit & Printing.
What each status means
| Status | What it means | What you do |
|---|---|---|
| Incomplete | It’s in the member’s cart and payment isn’t finished. | Nothing, or follow up with the member. You can delete it to clear their cart. |
| Pending Requirements | Bought, but something is outstanding, such as an unsigned waiver, a document or a background check. The member sees Action Needed beside it. An issued membership can drop back here if a tracked requirement lapses. | Open Membership Details to see what’s missing, and resend a waiver from there if it never arrived. To remind everyone at once, open Membership Organizations, filter on Pending Requirements and select Resend Missing Agreement Emails. |
| Processing | Paid, and every agreement is signed, but your association hasn’t approved the application yet. | Review the application, then approve it. |
| Requires Admin Attention | Waiting for your review. Your association may send every new membership here for approval, or an admin flagged it. | Check the member’s details and requirements, then approve it. |
| Manual Hold | An admin put it on hold to check something. | Change the status once the question is settled. |
| Issued | Requirements are complete and waivers are signed. The membership is valid. | Nothing. It’s good to go. |
| Expired | Its end date has passed. The date shows under Purchased Groups on the membership. | The member renews by buying the next membership. |
| Cancelled | No longer valid, and left out of membership reports. It may or may not have been refunded. | Check the order to see whether money went back. |
Less common statuses
- Valid In Future — the start date hasn’t arrived yet, as with a renewal bought early.
- Being Checked Out — the member is partway through checkout.
- Suspended — your association suspended the membership. Where Uplifter links your statuses with another association’s, a suspension at one shows at the other.
- Inactive — each one names a standard reason: Retired, Deceased, Moved out of the province, Inactive candidate, Pending validation or Higher Level Achieved. Higher Level Achieved is set automatically on a certification level once the member reaches the next one, where that’s set up.
To change a status yourself, select Edit under Purchased Groups on the membership, or update several at once from Mass Edit & Printing. Renewal windows and grace periods after expiry are set per association by Uplifter, so ask your Uplifter contact to change them.
